How it ran

The portal was delivered inside the EventsAir app through a token-gated link, so delegates opened it from the app they already had, with no download and no new login. Every session was live within the break: 155 talks over three days, each with its summary, insights, quotes and full recording.

Ask answered around 95 delegate questions over the summit, each with cited quotes from the transcripts. The keynote and panel halls ran with transcript verification. After the event, the organiser received a 23-page post-event insights report: what was read, what was asked and which themes carried the summit.

FAQ

Questions organisers ask

How do AI conference summaries work?

Each session recording is transcribed with timestamps. Conference Insights then generates the summary, key insights, pull quotes, statistics and a "what to do" panel from that transcript, and a daily synthesis across all sessions. Everything links back to the timestamp it came from, so a delegate can jump to the moment and hear it for themselves. Editorial review and transcript verification are yours to switch on, per event.

How fast are session pages published?

Before the break ends: typically 15–25 minutes after a session ends for the first pass. A session captured live in the room is transcribed and generated as soon as it ends, and the page is published to the portal while delegates are still talking about it. With verified editorial switched on, the page goes live once the reviewer approves it; with fast first, verify later, it goes live immediately and is upgraded in place.

What do we have to provide?

A logo and a colour palette. That’s it. Everything else, including your programme, speaker details and recordings, is handled by your Conference Insights project manager and included in the rate.

How accurate are the summaries, and are they checked?

Every summary, insight and Ask answer cites verbatim, timestamped transcript text, so anyone can check a claim against what was actually said. You choose the level of control per event: fast publish with no review step, fast first and verify later, or verified editorial, where a human corrects the transcript and reviews each page before it goes live.

Can we publish fast and verify later?

Yes. Fast first, verify later publishes the first pass before the break ends, then transcript verification and editorial review upgrade the pages in place, with no gap in what delegates can read. You can also run verified editorial on selected rooms only, for example the keynote and panel halls.

Where is our conference data stored and processed?

In Australia. AI processing runs on Google Vertex AI in the australia-southeast1 region, the portal is private and token-gated, and nothing is exposed to public search engines. Recordings and transcripts remain your content.

How do delegates access the portal?

Through token-gated links from your event app or email. There is no account to create and no app to install: the portal is a mobile-first website branded as your event, and it lives inside the event app delegates already have (proven inside EventsAir; any app that can open a link works).

How is it priced?

Per event. The delegate portal, intelligence and video on demand are one fee based on programme size, and it covers the branded portal for the life of the event, your project manager and the post-event report. The marketing pack starts from a base fee, and we can run the whole post-event campaign as a service. Contact us at [email protected] and we will send a quote within two business days.
